Booking & Cancellation Policy

Please read the following Booking Conditions carefully. The Vegan Routes only accepts bookings subject to these conditions. The terms, conditions, and provisions outlined below in this agreement (“the Agreement”) apply to all tours and adventures provided by The Vegan Routes, a company registered with its head office in Udaipur, Rajasthan, India (“the Company”). By booking a trip with The Vegan Routes (The Company), you (The Client) agree to be bound by the terms and conditions set out below.

1. Acceptance of Terms

By submitting a booking request along with the non-refundable deposit of US$500, you (“the Client”) acknowledge that you have read, understood, accepted, and agreed to all the terms, conditions, and provisions contained in this Agreement.

2. Governing Law & Jurisdiction

This Agreement is governed by the laws of the Republic of India. Both parties agree to submit to the exclusive jurisdiction of Indian courts.

By proceeding with the booking, the Client confirms they have read, understood, and agreed to these Booking Conditions on behalf of all travellers listed.

4. Client Authority

The person submitting the booking confirms they:
The Company reserves the right to decline any booking at its discretion.

5. Contract Formation

A binding contract is formed when:
No person has the authority to vary these terms unless authorised in writing by a Company Director.

6. Accuracy and Pricing

We endeavour to ensure that all information and prices on our website are accurate; however, changes and errors may occasionally occur, and we reserve the right to correct errors in the prices of confirmed holidays and other details in such circumstances. We also reserve the right to amend the price of unsold holidays at any time. Therefore, please check the current price and all other details relating to the arrangements you wish to book before making your booking. Once your holiday with us has been confirmed, the price is guaranteed and will not change unless there has been an error in the price of your holiday.

Rates are subject to change prior to departure due to fluctuations in fuel costs, exchange rates, or supplier charges.
The Company may change services or facilities and substitute with comparable alternatives without compensation. No liability is accepted for resulting loss of enjoyment or additional costs outside of fees paid to the Company.

11. Cancellation by the Client

All cancellations must be submitted in writing. Charges are as follows:

The Company is not responsible for airline or third-party cancellation fees.

12. Cancellation by the Company

Adventures are guaranteed to depart once confirmed. However, the Company may cancel due to:
In such cases, the Client will be offered alternative arrangements or a full refund of payments made to the Company. Additional external expenses are not refundable.

13. Cutting your holiday short 

If you choose to return home early, we cannot refund the cost of any unused travel arrangements. Suppose you cut short your holiday and return home early in circumstances where you have no reasonable cause for complaint about the standard of accommodation and services provided. In that case, we will not offer you any refund for that part of your holiday not completed, nor be liable for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment, and we suggest that any claim is made directly with them.

14. If you need to change your booking Date, destination & passenger flexibility – up to 90 days before departure

Having booked, if you subsequently need to postpone your planned holiday, you have complete freedom to reschedule your trip to another date in the following 18 months (subject to availability). We will not incur any costs of our own for making these changes; however, any operational and booking surcharges (such as seasonal differences) or cost reductions will be passed on to you. If you have committed to any additional pre-payments, these may be non-refundable and/or non-exchangeable.
*Flights – Very Important: Once issued, flight tickets are extremely inflexible. Name changes are not allowed, and date and route changes will often only be allowed for a charge, if at all. We have extensive experience in arranging both long-haul and domestic flights, and would be delighted to discuss more flexible flight arrangements with you.
Once within 90 days of your departure, changes to your booking can become more complex and/or expensive as we are committed to paying full balances to hotels, guides and suppliers on your behalf ahead of your arrival. However, we will do everything possible to assist you in the event that you need to postpone.
Please note: If you wish to change any part of your booking after our confirmation invoice has been issued, you must notify us in writing as soon as possible. The person named first on the booking should do this. Whilst we will do our best to assist, we cannot guarantee that we will be able to meet your requested change. Please be aware that these costs may increase the closer to the departure date changes are made, and we recommend contacting us as soon as possible. Where we are unable to assist you and you do not wish to proceed with the original booking, we will treat this as a cancellation by you. A cancellation fee may be payable

15. Travel Insurance

Insurance is mandatory and must cover:
Failure to provide proof of adequate coverage may result in exclusion from the trip without refund.

17. Disabilities and Medical Problems

We are not a specialist disabled holiday company, but we will do our utmost to cater for any special requirements you may have. If you or any member of your party has a medical problem or disability that may affect your booking, please provide us with full details before making your booking so that we can advise you on the suitability of your chosen arrangements. We may require you to produce a doctor’s certificate certifying that you are fit to participate. Acting reasonably, if we are unable to properly accommodate the needs of the person(s) concerned, we will not confirm your booking. If you did not provide us with full details at the time of booking, we will cancel it and impose applicable cancellation charges once we become aware of these details.

18. Complaints

We make every effort to ensure that your holiday arrangements run smoothly. However, if you encounter a problem during your holiday, please notify the relevant supplier (e.g., your hotelier, local operations manager, or tour guide) immediately. They will endeavour to rectify the issue. If your complaint is not resolved locally, please contact us by email at info@theveganroutes.com
Suppose the problem cannot be resolved, and you wish to file a complaint further. In that case, you must send a formal written notice of your complaint to us at our office, ideally within 28 days of the end of your stay, giving your booking reference and all other relevant information. Please keep your letter concise and to the point. This will enable us to identify your concerns and respond to you promptly. Failure to follow the procedure set out in this clause may affect our and the applicable supplier’s ability to investigate your complaint, and will affect your rights under this contract.

19. Special Requests 

Any special requests must be communicated to us at the time of booking, such as dietary requirements, preferred room location, or a specific hotel facility. Whilst we will make every effort to accommodate your reasonable special requests, we cannot guarantee that they will be fulfilled. The fact that a special request has been noted on your confirmation invoice or any other documentation, or that it has been passed on to the supplier, does not confirm that the request will be met. Failure to meet any special request will not be a breach of contract on our part unless the request has been specifically confirmed by us.  We do not accept bookings that are conditional upon any special request being met.

20. Passports, Visas & Vaccinations
